How to use ReceiptPro for a salon, barbershop or beauty business in Nigeria
Record service fees without fake stock, add retail products and give clear receipts. Follow a salon example covering cash, quotes, transfers and plan limits.
A haircut, beard trim and a jar of styling product can appear on the same customer bill, but they should not all behave like stock. The work is a service; the jar is a physical item. ReceiptPro lets you keep that distinction explicit so you can record a visit without entering pretend quantities of haircuts or losing track of products sold from the shelf.
1. Choose a service-aware business setup
Create a free Starter account, sign in and choose Beauty & wellness during business setup. Enter the salon or barbershop name customers recognise, contact details and a small logo. Review these details in Settings when something changes.
Add “Haircut” and “Beard trim” as Service · no stock tracking items. Enter the service fee; any direct cost is optional. You do not need to claim you purchased a haircut or enter an opening stock quantity for it. The goods/service type on each item controls stock, so check the item itself rather than assuming the business category fixes every entry.
If you sell styling products, add each physical product as Goods · track stock with its actual unit, selling price and opening quantity. “Styling pomade — 100 g jar” is clearer than a general entry called “product”. Do not use a retail jar count to represent the small quantities consumed during services unless that is genuinely how you measure and record them.
2. Build a service-and-product bill
Here is a fictional visit, excluding tax and discounts:
- Haircut service: ₦4,000.
- Beard trim service: ₦2,000.
- One jar of styling pomade: ₦3,500.
- Total: ₦9,500.
In a service business, the sale action is labelled Record Payment. You can use that route in Easy Mode, or switch to Standard Mode and open Record Payment there. On the Standard mobile New sale screen, select the two services and the jar, then choose Review sale.
Check the names, quantities and ₦9,500 total on Payment. If the customer gives ₦10,000 cash, enter it and confirm that change is ₦500. Leaving the cash-received field blank means exact cash. Use Record payment once the bill and money are correct, then wait for the saved receipt.
If opening pomade stock was eight jars, seven remain after this sale. The haircut and beard-trim records should not reduce stock. This does not automatically track appointments, stylist availability, chairs or commission: those are separate operational needs, not features implied by a service catalogue.
3. Confirm transfers without guessing
When a customer pays by transfer, check your own bank account for the correct amount. On the Standard mobile Payment screen, select Bank transfer and use I received this payment only after confirming receipt. A screenshot or transaction reference on its own does not establish that you received the money.
Card terminal payments are also external. Check your terminal's result before recording that method. ReceiptPro is a sales-record application, not the business's bank or card processor. Learn when to issue an invoice or receipt so an unpaid request is not accidentally presented as a completed payment.
4. Use a proforma for a larger beauty-service proposal
A client might ask for a bridal-hair service at ₦12,000 and makeup at ₦18,000, making a ₦30,000 proposal. Use Create Invoice in Easy Mode, or Invoice Generator in Standard Mode, to enter the customer, service descriptions and terms. Choose Save proforma while the client is deciding.
That saved quote does not book an appointment, reserve a staff member or add sales, expenses, stock movements or customer debt. If the client agrees, the separate Record sale confirmation must reflect the actual transaction and payment status. Read the proforma tutorial before using that action.
A ₦10,000 deposit is not payment of the full ₦30,000 proposal. Keep the deposit and ₦20,000 balance in separate, accurate records; automatic deposit allocation and partial-repayment reconciliation are not implemented. Growth and Pro allow a fully unpaid credit sale with customer details, which is a different situation from receiving a deposit.
5. Choose the plan and closing routine you need
Starter includes on-screen receipts, basic sales records, logo positioning, JSON backups and up to fifty shared catalogue items across goods and services. Growth adds browser printing, Save as PDF where supported, WhatsApp text receipt sharing and fully unpaid credit sales. Pro adds document colours, themes, fonts and broader protected team roles. Individual staff selling requires owner-enabled online setup; sharing payroll records does not itself grant a login.
Compare your cash, confirmed transfers and terminal records at closing. Keep product purchases, service costs and money taken out distinct, and export a backup away from the selling device. Follow the daily records guide and compare ReceiptPro's actual POS workflow before making it part of every customer visit.
