How to use ReceiptPro for a restaurant, cafe or food stall in Nigeria

Set up menu items, record food-counter payments and issue clear receipts. Follow a naira example without confusing portion stock, quotes or unpaid orders.

A busy food counter can sell three things in one order: a meal, an extra portion and a drink. If the seller records only a total, it becomes difficult to explain which items left the counter or why the cash drawer differs from sales. ReceiptPro helps you keep those sale lines and their payment method together. The aim is a clear counter record, not an automatic kitchen-management system.

1. Set up a food business with a short menu

Create a free Starter account, sign in and select Food & drinks during business setup. Enter the name customers know, contact details and a small logo. You can review the name, contact details and logo in Settings later.

Start with items you actually sell: “Jollof rice — regular plate”, “Chicken add-on” and “Bottled water”. In the Easy Mode catalogue, use Goods · track stock for a prepared portion or packaged drink you intend to count. Give each item a consistent unit, price and real opening quantity.

Twenty prepared plates means twenty saleable portions, not twenty bags of raw rice. ReceiptPro does not calculate recipes, deduct ingredients, route kitchen orders or manage tables. If you do not count prepared portions reliably, decide on a practical recording routine before entering quantities that everyone will later trust.

2. Work through a complete counter order

Here is a fictional order, with tax omitted to keep the arithmetic clear:

  • Two regular plates at ₦2,500 each: ₦5,000.
  • One chicken add-on at ₦1,500: ₦1,500.
  • Two bottles of water at ₦500 each: ₦1,000.
  • Total: ₦7,500.

In Easy Mode, choose Make a Sale, select the items and check their quantities. Alternatively, switch to Standard Mode and open Point of Sale. On the mobile New sale screen, build the basket, choose Review sale, then check Payment. These are alternative routes to recording the same order; do not complete it once in each mode.

Select Cash only when that is how the customer paid. If they hand over ₦10,000, enter that cash received and check the ₦2,500 change. Leaving the cash field blank means exact cash. Use Record payment after checking the order and money; wait for the save to finish before moving to another task.

If opening quantities were twenty plates, fifteen chicken add-ons and twenty-four water bottles, this order leaves eighteen, fourteen and twenty-two respectively. It does not establish your profit: ingredient costs, labour and other expenses still matter.

3. Keep transfer confirmation separate from a screenshot

For a bank transfer, open your own bank account and check that you received the correct amount. In the Standard mobile Payment screen, use I received this payment only after doing that check. A reference can help you trace a transaction, but entering one does not verify it.

A card terminal also operates outside ReceiptPro. Confirm the terminal result before recording that method. ReceiptPro is not a bank POS machine and does not guarantee settlement. The demo's transfer simulation is only sample behaviour, never a destination for real money.

4. Quote larger orders before treating them as sales

An office might request a price for twelve lunch packs at ₦3,500 each, plus a ₦5,000 delivery service: ₦47,000. Choose Create Invoice from Easy Mode, or Invoice Generator in Standard Mode, and prepare a proforma. Enter the customer, descriptions, quantities and terms, then Save proforma.

Saving, editing or deleting that quote leaves sales, stock, expenses and customer debt unchanged. A quote does not reserve ingredients or confirm that food has been collected. Use the separate Record sale confirmation only when there is an agreed transaction and you have checked its payment status. Read how proformas stay separate.

5. Close the day with figures you can explain

Compare recorded cash, transfers and terminal payments with actual evidence. Keep opening float, purchases, waste and cash taken out distinguishable. Easy Mode's sales summary includes unpaid sales and excludes VAT; it is not simply the money in your drawer. Use this daily closing routine to keep the categories clear.

Starter includes up to fifty shared catalogue items, on-screen documents and JSON backup exports for one device workspace. Growth adds browser printing, Save as PDF where supported, WhatsApp text receipt sharing and fully unpaid credit sales. Pro adds custom document colours, fonts and broader protected team roles; protected staff selling requires online owner setup. Keep deposits and partial repayments in separate records because they are not automatically allocated to invoices.

Test one small order and your actual printer before a busy service. For wider catering work, see the catering and event-services tutorial. Compare ReceiptPro's POS workflow with the way your counter operates.
