How to use ReceiptPro for a provisions shop or minimart in Nigeria

Organise shop units, record cash and transfer sales, and check low stock. A worked rice-and-provisions example shows quantities, change and daily closing.

In a provisions shop, one shelf may contain loose rice, individual detergent bottles and packs of biscuits. The difficult part is not writing a total; it is keeping the unit behind every price consistent. Selling “one” without saying whether it means a bag, kilogram or bottle makes later stock checks unreliable. This tutorial starts with a small catalogue and a sale you can reconcile by hand.

1. Choose the retail setup and define each selling unit

Start with a free Starter account and choose Shop / retail during business setup. Add your shop name, contact details and logo. Open the goods catalogue in Easy Mode, or Inventory after switching to Standard Mode.

Create separate goods records for “Rice — per kg”, “Detergent — 500 ml bottle” and “Biscuits — single pack”. Choose Goods in Standard Inventory, or Goods · track stock in Easy Mode, with an appropriate unit, selling price and actual quantity. Choose a useful low-stock level for each record instead of copying one number across every item.

If you purchase cartons but sell bottles, convert the delivery into bottles before updating the bottle record. Do not enter two cartons as two bottles. ReceiptPro does not automatically convert every purchasing unit into your chosen selling unit, nor does a low-stock warning place an order with a supplier.

2. Test a mixed-unit basket

Assume you begin with 12.5 kg of rice, eighteen detergent bottles and twenty biscuit packs. The following fictional sale excludes tax and discounts:

  • Rice: 1.5 kg at ₦1,800 per kg = ₦2,700.
  • Detergent: two bottles at ₦1,200 = ₦2,400.
  • Biscuits: one pack at ₦500 = ₦500.
  • Total = ₦5,600.

In Easy Mode, use Make a Sale and select the goods. For the Standard mobile workflow, open Point of Sale, add the items on New sale, and edit the rice quantity to 1.5. Enter fractional quantities only when they accurately match the real selling unit; weigh the rice separately rather than assuming the app is connected to a weighing scale.

Choose Review sale and check every line on Payment. If the customer gives ₦6,000 in cash, the correct change is ₦400. Record the payment once and wait for the saved result. The remaining quantities should be 11 kg of rice, sixteen detergent bottles and nineteen biscuit packs. Check that small example before importing or entering a much larger catalogue.

3. Record transfers and unpaid purchases accurately

A customer's transfer screenshot is not the same as credit appearing in your account. Check your bank, select the transfer method and use the explicit own-bank confirmation before recording it as paid. A terminal payment similarly needs confirmation on the external terminal; ReceiptPro records the method rather than processing the card.

If you agree to let a known customer pay later, Growth or Pro is required to create a fully unpaid credit sale. The Standard mobile option is Pay later and its final action is Record unpaid sale. Enter the customer's name and phone number. Do not choose cash simply to get past the screen: it would make your payment record misleading.

The credit workflow records a full unpaid balance. Deposits and later partial collections need separate records; they are not automatically reconciled against that sale.

4. Check low stock and daily differences

A low-stock list is only useful when opening stock and replenishments are accurate. If the shelf count differs from the app, first check whether someone sold the wrong unit, omitted a sale or entered a delivery twice. Keep an explanation of a correction rather than silently changing quantities to make the numbers match.

At closing, compare physical cash with cash sales and cash movements. Review transfers and terminal payments separately, and keep unpaid sales distinct from money received. Easy Mode's sales summary includes unpaid sales and excludes VAT; it is not a bank balance. Follow a daily sales-record routine and keep an exported backup outside the sales device.

5. Use invoices without adding imaginary turnover

A customer comparing a bulk order may request an invoice before deciding. In Easy Mode use Create Invoice, or open Invoice Generator in Standard Mode, then prepare a proforma and choose Save proforma. That quote does not reduce stock, record debt or add sales. Recording its sale is a separate confirmation step. See the invoice-versus-receipt guide before choosing a document title.

Starter supports fifty shared catalogue items and on-screen documents. Growth adds more catalogue capacity, printing and browser PDF options where supported, WhatsApp text receipt sharing, and unpaid credit sales. Pro adds custom document colours and fonts and expanded protected team roles. Protected cashier selling needs owner setup and internet; ordinary device records do not automatically live-sync across shops. Review the POS product details before expanding your setup.
