How to use ReceiptPro for tutors and training businesses in Nigeria

Organise lesson and workshop fees, prepare an A4 quotation and record confirmed payments in ReceiptPro, with clear limits on repeat billing and attendance.

By ReceiptPro NG Editorial · Published

Private tutors, language coaches and small training businesses need clear fee records, even when teaching happens in a home, classroom or online. ReceiptPro NG can describe the service, prepare a quotation and record a confirmed payment. It is not a student-management platform, so lesson attendance, learning progress and scheduling need their own records.

Set up education services

Register or continue with Google, then choose Education & training in business setup. Enter the trading name, appropriate business contacts and logo. The service-oriented examples make it easier to add a Lesson, Training session or Workshop instead of filling in imaginary stock quantities.

Create Service entries with precise descriptions: One-hour mathematics lesson, Beginner spreadsheet workshop or Learning-plan preparation. A chargeable hour or session is represented by quantity and explained in the description. The catalogue does not create an attendance register or book a teaching slot.

Use the adult customer's or organisation's billing details where appropriate. Keep unnecessary personal information about learners, especially children, out of invoice descriptions. A short reference can connect the document to a separate, securely held teaching record without publishing sensitive assessment details on a shared receipt.

Quote for the specific period or package

In Easy Mode select Create Invoice; in Standard Mode open Invoice Generator. Use Proforma / quote while the parent, learner or organisation considers the offer. Add the customer and service lines, then review the proposed period and quantity carefully.

Here is a fictional four-session package:

  • One-hour mathematics lesson: 4 sessions at ₦7,500 = ₦30,000.
  • Learning-plan preparation: 1 service at ₦5,000 = ₦5,000.
  • Quoted package total: ₦35,000.

Tax and discounts are omitted from this example. Add a preparation charge only if it is a real, separately agreed part of your offer. If the price already includes it, do not charge twice. Apply the correct settings for your own business rather than copying a tax assumption from an example.

Use the description to identify the package, such as Four mathematics sessions for November, rather than making the customer guess which period the document covers. Where available on Growth and Pro, editable invoice terms can explain the scope or payment instructions. Keep the detailed teaching arrangement separately.

Save the proposal without creating false income

On a phone, use Add service to find or describe the fee, check quantities and select Preview invoice. Open More options for the extra fields you need. Previewing only shows the document; Save proforma stores the quotation without recording a sale, payment, customer debt or stock movement.

If the customer requests two sessions instead, edit the unrecorded quotation and review the new total. Do not create a paid receipt just to show the available price. Nor should an enquiry from a parent become a credit balance merely because you typed a due date.

Choose A4 portrait when a company needs an itemised training invoice or a parent wants a fileable package document. The 80 mm option suits a shorter receipt. Upload your logo in Settings and use left, centre or right positioning to keep the header compact.

Record the actual agreement and payment

Once the transaction proceeds, use Record sale as a separate action on the saved quote, or open the sale/payment workspace for the confirmed transaction. Select the correct method. For a full ₦35,000 bank transfer, check that amount in your own bank account before confirming receipt. The app does not verify the bank transfer or treat a screenshot as bank evidence.

If an agreed package is completely unpaid, Growth or Pro can record a credit sale with the required customer details. That creates an outstanding debt and counts as a recorded sale; it is not cash received. Starter does not support new credit sales.

If the customer instead pays ₦20,000 initially, a separate collection record should show ₦15,000 still outstanding. ReceiptPro does not automatically allocate that part-payment against the invoice. Do not mark the full package paid or record each later collection as another complete package sale. Read the deposit guide before relying on the app for an instalment-based teaching business.

Repeat billing deliberately, not automatically

For a new month's package, prepare a new document with the correct customer, period, quantity and fee, then review it before recording. Do not assume that reopening an old quote renews the service or charges the customer. Recurring invoices, automatic payment collection, attendance tracking and automated reminder emails are not provided by this workflow.

Starter includes a free account, up to 50 catalogue entries and on-screen documents. Growth and Pro enable printing, browser Save as PDF where supported and WhatsApp text sharing. Pro adds custom document styling and manager, cashier or accountant logins after protected online setup; those predefined roles are not tutor or student accounts.

Keep lesson delivery and collection records, review unpaid amounts separately from cash, and export backups. Protected workspace backup export does not mean protected restore is available or that another device has automatically synced. Review service deposits, understand cash flow versus sales, or explore the invoice generator before creating your own business account.
