How to use ReceiptPro for a fashion boutique or clothing shop in Nigeria
Keep sizes and colours distinct, add alteration services and prepare customer quotes. A boutique example explains stock, discounts and accurate payment records.
A clothing shop can have the right total number of shirts and still be unable to find the size a customer wants. Counting every colour and size under a single “shirt” record hides that problem. ReceiptPro's current catalogue works best when each combination that needs its own stock count has a clear, separate entry. This tutorial uses that approach without assuming an automatic fashion-variant system.
1. Set up the boutique and name its stock precisely
Create a free Starter account and choose Fashion during business setup. Add your business name, contact details and logo. Switch to Standard Mode and open Inventory, or add goods through the Easy Mode catalogue.
Create entries such as “Oxford shirt — Blue — M”, “Oxford shirt — Blue — L” and “Pleated skirt — Black — S”. Select Goods in Standard Inventory, or Goods · track stock in Easy Mode, use an appropriate unit such as pcs, and enter the stock you actually have for each combination. A short, distinct SKU can make search easier.
These are separate catalogue records, not children in an automatic size-and-colour matrix. Each counts towards Starter's fifty-item shared catalogue limit. Do not put twelve mixed shirts into a single medium-size record or expect the app to distribute a delivery across variants for you.
2. Add alterations as services rather than garments
If the shop charges for an adjustment, create a separate service, for example “Trouser adjustment”. Choose the Service item type in Standard Inventory and enter the fee. This prevents a sewing charge from appearing as another garment that should reduce stock.
Consider a fictional sale with tax omitted and a whole-order discount:
- Two blue medium shirts at ₦12,000 each: ₦24,000.
- One black small skirt at ₦10,500: ₦10,500.
- One adjustment service at ₦1,500: ₦1,500.
- Subtotal: ₦36,000.
- Discount: ₦1,000.
- Final total: ₦35,000.
If you started with six blue medium shirts and three black small skirts, this sale leaves four and two respectively. The adjustment does not consume another skirt. The example is not a profit calculation; garment costs, sewing work and expenses need their own accurate records.
3. Check the variant and discount before taking payment
In Easy Mode choose Make a Sale. For the Standard mobile checkout, open Point of Sale, search the specific size and colour, and check the editable basket on New sale. Choose Review sale when the lines are correct.
On Payment, use More options to enter the ₦1,000 discount if your role permits it. Make sure you are entering a currency amount rather than treating that field as a percentage. Check that the total changes from ₦36,000 to ₦35,000 before continuing.
If the customer gives ₦40,000 cash, enter cash received and check the ₦5,000 change. For a transfer, check your own bank account, not just an alert screenshot, before confirming receipt and selecting Record payment. An external card terminal needs its own successful result; ReceiptPro records that method without processing the card.
4. Quote a group order without inventing a completed sale
A customer comparing uniforms might request ten shirts at ₦12,000: a ₦120,000 proposal. Choose Create Invoice in Easy Mode or Invoice Generator in Standard Mode. Enter the customer, item descriptions and terms, then Save proforma while the order is still being discussed.
Saving, editing or deleting that quote leaves sales, expenses, stock and debt unchanged. It also does not reserve a size run or guarantee that the items will still be available. Recheck stock and the customer's agreement before using the separate Record sale confirmation. See the proforma guide.
If you accept a deposit, keep it and the remaining balance in separate, accurate records. The current credit workflow records a fully unpaid sale on Growth or Pro; it is not automatic deposit allocation. Do not mark a whole ₦120,000 order as paid because a smaller amount arrived.
5. Keep presentation and corrections understandable
A4 can suit longer group-order descriptions; an 80 mm layout can suit a short counter receipt. Starter includes on-screen documents and your logo with left, centre or right positioning. Growth adds browser printing, Save as PDF where supported and WhatsApp text receipt sharing. Pro adds custom colours, themes and fonts and broader protected team roles. Staff selling requires the owner-enabled online workspace; payroll records alone do not create logins.
For an exchange or a disputed size, keep the original sale reference and an explanation of the correction. Do not silently overwrite a historical document or describe an inventory change as an automatic refund. Export backups regularly and compare physical stock by the exact size-and-colour entry.
Use the invoice-versus-receipt guide when choosing what to send a customer, and review ReceiptPro's POS capabilities before growing the workflow.
