You do not need to open a laptop every time a customer requests an invoice. On a phone, the important steps are entering the correct customer, adding the work or goods and reviewing the amount. Leave optional details until you need them.

1. Open your own business workspace

Register or sign in, including Continue with Google if that is how you created your account. Check the business name at the top of the screen. Sample records belong to the demo workspace; use My Business for real transactions.

From the Standard Mode phone menu, choose Invoice. Easy Mode also has a Create Invoice shortcut. The editor opens with Invoice selected. If you are only proposing a price, change the document type to Proforma / quote.

2. Add a customer and an item

Enter the customer's name. Tap Add item and choose a catalogue item or enter a custom description and price. A service business can describe work such as website maintenance or an installation instead of pretending it is physical stock.

For a fictional example, two support hours at ₦8,000 per hour total ₦16,000 before any applicable adjustments. Check the quantity and unit price separately. A misplaced zero is easier to catch before previewing.

3. Review the date and optional details

Check the payment due date. Use More options for contact information, the invoice reference, applicable adjustments, notes and bank details. Confirm the beneficiary name and account number before putting them on a document.

Keep the scope of work brief but specific. If the customer needs an internal purchasing reference, include it in the agreed notes rather than replacing the invoice's own identifier.

4. Preview before recording anything

Tap Preview invoice to inspect the actual document. Back returns you to the editable form. An A4 layout gives longer descriptions more space; an 80 mm layout is compact. Neither layout changes what the customer owes.

Opening or previewing an invoice does not automatically record a sale. Recording is a separate action with confirmation. An agreed unpaid sale changes customer debt when recorded; a proforma remains a quote until you deliberately proceed.

5. Use the output included in your plan

Starter supports on-screen invoice creation. Printing and browser Save as PDF, where available, require Growth or Pro. Check the preview, plan and browser output before promising a customer a PDF. WhatsApp text receipt sharing is also a paid-plan feature.

Read the free invoice generator guide for the current limits and the proforma guide for quotation handling. Start with a few clearly labelled demo entries while learning the controls, then return to your own workspace for actual records.
