Free editable invoice template in Nigeria: what to change before sending

Use a practical editable invoice checklist for a Nigerian business. Replace sample details, check naira totals and choose the correct payment status.

A free editable invoice template is useful only when the final document matches the transaction. Changing the business name while leaving another customer's address, an old account number or a paid stamp can create confusion. Work through the document from the top down before sending it.

Copy a simple starting structure

These details and figures are fictional. Copy the field labels into your chosen document editor and replace every example with accurate information.

  • Business: Sample Office Supplies, Abuja; business phone and email.
  • Customer: Example Studio Limited; customer contact.
  • Document: Invoice INV-EXAMPLE-001.
  • Issue date: 28 October 2026; agreed due date: 4 November 2026.
  • Printer paper: 3 packs at ₦6,000 each = ₦18,000.
  • Delivery: ₦2,000, only if this was agreed.
  • Total requested: ₦20,000; payment received: ₦0; outstanding: ₦20,000.
  • Payment instructions: the business's verified account details.

This example omits tax and discounts. Check any charges that apply to your own business instead of copying an arbitrary percentage from a template.

Edit the identity and reference fields

Replace the supplier and customer details, including information repeated in headers and footers. Check the logo, phone number and account beneficiary. Give the document a reference you can find again; a filename alone is not a reliable invoice identifier.

Keep a record of who received the invoice. A customer may need a purchase-order reference or a specific billing address. Ask before sending rather than repeatedly replacing a document after their accounts team rejects it.

Recalculate every line

Quantity multiplied by unit price should match each line amount. Recheck the subtotal, agreed adjustments and total. When editing a spreadsheet, confirm the formula includes all added rows. When editing a plain document, calculate the amounts separately and compare them with the finished page.

An invoice requests payment. Remove any paid wording unless you have confirmed payment. If the customer is still deciding whether to buy, use a quotation or proforma instead.

Use a template or use ReceiptPro

A Word or spreadsheet template requires manual editing and file organisation. ReceiptPro creates documents from the entries you provide and keeps a catalogue and sales records together. A free Starter account includes on-screen invoices; printing and browser Save as PDF require Growth or Pro. This guide does not offer a downloadable Word or Excel file.

See the A4 invoice sample for layout guidance and the free invoice generator guide for current account and output limits. Before sending any document, open the final version and check its reference, payment status and total one last time.
