Excel invoice template or invoicing software for a Nigerian business?

Compare an Excel invoice template with ReceiptPro for a Nigerian small business: formulas, payment records, stock, printing limits and a careful changeover.

An Excel invoice template can be a sensible starting point for a small Nigerian business. It is familiar, flexible and useful when one person sends a few documents. Dedicated invoicing and sales software becomes more attractive when the same details must also support repeat customers, item records and daily sales. Choose around the work you need to control rather than assuming either tool removes the need to check figures.

Where a spreadsheet works well

A freelancer with a small number of projects may prefer a reusable workbook containing business details, customer fields and itemised charges. Microsoft provides editable invoice templates with formulas and PDF export options. The available software and account conditions depend on the Microsoft product you use. Browse Microsoft's official invoice templates.

Excel can also support shared files and more advanced processes when deliberately configured. A basic template is simply a starting document, however; do not assume it already contains a complete stock, payment-allocation or permissions system. Assess the actual workbook and how your team uses it.

Keep an untouched master and create clearly named customer copies. Check whether added rows remain inside the total formula and whether a copied document still contains the previous customer's details. A correct-looking page can contain an outdated amount, date or bank account number. Review the final PDF as well as the workbook.

Test both tools with the same example

Imagine a fictional design business preparing an invoice with these lines:

  • Brand consultation: 1 at ₦60,000 = ₦60,000.
  • Handover session: 2 at ₦10,000 = ₦20,000.
  • Subtotal: ₦80,000.
  • Agreed invoice-level discount: ₦5,000.
  • Total requested: ₦75,000.

Tax is omitted from this simplified example. In a spreadsheet, verify the quantity-times-price calculations and that the discount is subtracted once. In software, inspect the entered quantities, fees, discount and applicable tax settings before accepting the calculated total.

Neither the workbook nor the software establishes that ₦75,000 reached the bank. An unpaid invoice requests payment; a receipt should acknowledge a payment the business actually confirmed. If the customer has not accepted the proposal, label it a proforma rather than treating the amount as a sale or debt.

What ReceiptPro adds to the daily workflow

ReceiptPro brings a catalogue, sale records and document previews into one workflow. Goods entries track stock; Service entries do not consume stock. A recorded goods sale reduces the relevant quantity, while saving a proforma does not. This can reduce the separate copying involved in maintaining unrelated invoice and sales files, provided the original entries are correct.

Use Create Invoice in Easy Mode or Invoice Generator in Standard Mode. Add the customer and items, choose Proforma / quote while proposing work, and preview the document. Save proforma and Record sale are separate actions. A quote can be edited before recording; printing or previewing it does not turn it into income.

For a confirmed paid transaction, check the actual payment and record the correct method once. Growth and Pro support new fully unpaid credit sales. Deposits and instalments still need separate records because this release does not automatically allocate partial payments against an invoice. It also does not independently confirm customer bank transfers.

Compare the real limits, not just the word free

Starter includes an account, up to 50 combined catalogue entries and on-screen documents. Browser printing, Save as PDF where supported and WhatsApp text sharing require Growth or Pro. Pro adds custom document colours, themes, fonts and additional predefined staff roles after protected online setup. The app does not automatically send reminder emails or create recurring invoices.

A spreadsheet may suit you better if your main requirement is an occasional freely editable layout. ReceiptPro may suit you better when the sales and item-record workflow matters enough to justify its relevant paid features. Check the current plan comparison alongside your actual document frequency and the time spent checking records.

Do not assume ReceiptPro imports an existing Excel invoice workbook or provides a bulk XLSX migration. Its JSON backups are for its own records, not a replacement Excel invoice format. Local selling and protected online teams also have different connectivity requirements; neither means automatic live sync across all devices.

Change over without duplicating old sales

Choose a clear starting date and keep the old files as an archive. Check current catalogue prices and physical opening stock before entering them. Do not recreate every previously paid invoice as a new paid sale simply to make the new system look complete; that can misstate the period's sales.

List outstanding invoices and any partial collections separately, then decide on a consistent handling process before entering live records. Try a labelled demonstration or sample proforma first, inspect the output and export a backup once genuine records exist. A gradual, checked changeover is more useful than abandoning the old evidence.
