SME invoicing in Nigeria: prepare a clear invoice for a business supply order
Prepare an itemised supply invoice for a Nigerian business customer. Check purchasing references, delivery charges, payment terms and document status.
A business customer may need more than a total and your bank details before approving payment. Their purchasing team must connect the invoice with the order, the agreed quantities and the delivery. Collecting those details early reduces avoidable document revisions.
Confirm the customer and their purchasing reference
Ask for the correct billing name, billing address and the contact who will receive the invoice. If the customer uses a purchase-order number or an internal approval reference, copy it accurately into the appropriate notes on your document.
The customer's purchase-order reference does not replace your invoice reference. One identifies their order; the other identifies the document your business issued. Keep both recognisable in your records and correspondence.
Itemise the agreed supply
Consider this fictional stationery order: 10 packs of paper at ₦6,000 = ₦60,000, four toner units at ₦15,000 = ₦60,000, plus an agreed ₦5,000 delivery charge. The example total is ₦125,000 before any applicable tax or other agreed adjustment.
Show the unit and quantity for each line. Do not describe ten packs as ten individual sheets. Check that any discount or delivery charge reflects the agreement, rather than appearing unexpectedly at the bottom of the invoice.
Choose the correct document stage
Use a proforma if the business is still deciding whether to order. If the transaction is agreed, create an invoice with clear payment instructions and a due date. An invoice is a request for payment, not proof that the money arrived.
In ReceiptPro, Invoice is the default document choice and Proforma / quote is available when needed. Saving a quote stays separate from recording a sale. Recording an agreed unpaid sale creates customer debt and affects the figures; use that action deliberately.
Check delivery and payment separately
Agree whether payment is due before delivery, on delivery or on another date. Describe the arrangement clearly. Do not mark a transfer as received solely because someone sent a screenshot or an approval message.
For a deposit, retain a separate record of the amount received and balance outstanding. This ReceiptPro release does not automatically allocate instalments against an invoice. Keep delivery evidence separately as well; an invoice should not be treated as a signed delivery confirmation.
Review and retain the finished document
A4 usually gives item descriptions and customer references more room than a narrow receipt. Check the logo, account beneficiary, quantities and total in the preview. ReceiptPro Starter supports on-screen documents; printing and browser Save as PDF need Growth or Pro.
Use the invoice sample guide and payment-terms guide to prepare a consistent workflow. Keep the final invoice and related payment and delivery records together so a later query can be answered from evidence.
