How to use ReceiptPro for repair technicians in Nigeria
Keep repair labour separate from stocked parts, send a clear estimate and record the right payment status in ReceiptPro, using a naira repair example.
A phone repair, air-conditioner service or equipment installation may include both physical parts and skilled labour. Treating everything as stock makes service records confusing; treating every part as a service hides what left the shelf. ReceiptPro NG supports the distinction, provided the business sets up each catalogue item carefully.
Choose the repair business profile
Create your account and choose Repairs & maintenance during business setup. Enter the business details customers recognise and add your logo in Settings. The interface uses service examples, but the kind of each individual item still decides whether it uses stock.
In the catalogue, create labour entries as Service: Diagnostic inspection, Screen-fitting labour or AC maintenance visit. Add stocked replacements as Goods, even though the business profile is service-oriented. Enter the real selling price, cost information and quantity available for those goods. A screen supplied from your shelf should not be disguised as a stock-free service.
Use the saved catalogue entry for a replacement part when adding it to a quote. A one-off service line can describe labour, but it should not replace a genuine stock-tracked goods entry. Check compatibility outside the app: a similar product name does not establish that a part fits the customer's device.
Prepare an estimate before authorising the repair
Open Create Invoice in Easy Mode, or Invoice Generator in Standard Mode, and keep Proforma / quote selected. Add the customer's billing details. Enter understandable descriptions rather than unexplained workshop abbreviations.
This fictional phone-repair estimate contains:
- Replacement charging assembly: 1 Goods item at ₦9,000 = ₦9,000.
- Fitting and testing labour: 1 Service at ₦6,000 = ₦6,000.
- Diagnostic inspection: 1 Service at ₦2,000 = ₦2,000.
- Quoted total: ₦17,000.
The inspection fee is included only because the fictional customer agreed to it. Tax and discounts are omitted from this example. If inspection is free or already included in labour, do not add it again.
Preview invoice lets you check descriptions and totals; Save proforma keeps the estimate without recording a sale, payment, debt or stock movement. Saving a quote does not reserve the replacement part. Check availability again before committing it to a job, especially if another customer could buy the same part.
Keep the repair instructions with the job
ReceiptPro is not a device-repair ticketing system. Keep customer approval, reported fault, accessories left behind, device condition and your workshop's job reference in suitable separate records. Avoid putting passcodes or sensitive customer content on a quotation or receipt.
If diagnosis reveals another required part, update the unrecorded estimate and get approval for the revised scope. Keep the old conversation for context. Opening a new quote does not cancel a previously recorded sale, and a stock edit is not a substitute for explaining a correction to the customer.
For service-only work, such as a maintenance visit, select the Service entry and use quantity to represent the number of chargeable visits actually included. This does not create appointment slots, dispatch a technician or send a reminder.
Record the parts and labour once
When the customer accepts and the transaction should be recorded, use Record sale as a deliberate, separate step. The app checks available stock when recording goods. The Goods quantity reduces; the labour service does not consume inventory. A saved proforma can point to the resulting sale, so check that record before trying again after a slow connection.
For a paid job, choose the real payment method. Check bank transfers in your own bank account and card-terminal results with your terminal provider. ReceiptPro records your confirmation; it does not independently authenticate a customer's screenshot or operate the card terminal.
Growth or Pro supports an agreed, fully unpaid credit sale using the required customer details. Starter does not enable new credit sales. If the customer pays only part of ₦17,000, keep a separate payment-and-balance record; automatic deposit allocation is not available. Do not mark ₦17,000 fully paid after collecting less, or record the balance as another complete repair sale.
Hand over a readable document
An A4 invoice is useful when a customer or company needs detailed parts and labour lines. An 80 mm receipt suits a short counter handover. In the preview, choose the paper size and logo position; inspect the text on the actual printer before relying on it.
Starter includes on-screen documents and up to 50 combined goods/service catalogue entries. Growth and Pro add browser printing, Save as PDF where the browser supports it and WhatsApp text sharing. Pro adds custom document styling and additional predefined staff roles after protected online setup. None of these turns the receipt into an automatic warranty registration or service-history portal.
Finish by comparing the day's recorded jobs with actual payments and parts used. Export backups and keep important job evidence separately; protected workspaces offer backup export but not protected restore in this release. Review payment reconciliation, compare invoice and receipt wording, or start an account.
