How to use ReceiptPro for cleaning and laundry services in Nigeria

Price laundry by item or cleaning by visit, prepare clear quotations and record confirmed payments in ReceiptPro without inventing stock or bookings.

A laundry business may charge per shirt, duvet or collection. A cleaner may charge for a visit, a room or a defined project. ReceiptPro NG can keep those chargeable quantities and prices readable, while a separate job record handles collection times, delivery promises and the work itself.

Start with the service profile

After creating an account, select Other services during business setup. Add your business name, contact details and logo. The interface then uses service-oriented wording: Add service and Record Payment are more appropriate than pretending a cleaning visit is a product sitting on a shelf.

Create each chargeable activity as a Service catalogue entry. Examples include Shirt wash and iron, Duvet cleaning, Pickup and delivery or Standard home-cleaning visit. Give the description enough detail to explain the basis of the fee. Service entries use the service unit internally, so put the customer-facing basis in the name and use quantity for the number being charged.

Do not enter eight shirts brought by a customer as eight pieces of your own saleable stock. The garments remain the customer's property. If you also sell sealed detergent bottles, create those as separate Goods entries with real stock information; the service label alone does not track consumables.

Price a laundry order clearly

The following is a fictional order, with no tax or discounts included:

  • Shirt wash and iron: 8 at ₦600 = ₦4,800.
  • Duvet cleaning: 2 at ₦2,500 = ₦5,000.
  • Pickup and delivery: 1 service at ₦1,500 = ₦1,500.
  • Total requested: ₦11,300.

Check the item count with the customer before preparing the document. If a duvet has a different size or treatment price, give that service a distinct description rather than letting a vague category conceal an extra charge. Configure any applicable taxes correctly for your business; this example does not prescribe a tax rate.

In Easy Mode choose Create Invoice, or open Invoice Generator in Standard Mode. Keep Proforma / quote selected if you are estimating before the customer accepts. Choose saved services, set the quantities and review each line. Preview invoice shows the document; Save proforma saves the estimate without recording payment, sales, debt or stock movement.

Use a different quantity basis for cleaning visits

A cleaning business can use a service called Standard two-bedroom cleaning visit, quantity 1, with the agreed fee. Three agreed visits at ₦18,000 each would total ₦54,000 before any other applicable charges. Do not silently change the quantity from visits to hours halfway through a quotation.

For a proposed package, describe what is included and get acceptance outside the app. Growth and Pro allow editable invoice terms. Keep excluded work, access arrangements and any agreed extras explicit; the invoice editor is not a site-survey or scheduling tool.

ReceiptPro does not allocate staff to appointments, schedule recurring visits, track garment handover or send automatic collection messages. Keep dates, job references, garment counts and customer instructions in a suitable separate job log. Avoid placing private access codes or unnecessary household details on a document that may be forwarded.

Record a paid order only after confirmation

When the transaction proceeds, use the separate Record sale action on the saved quote, or use the sale/payment workspace deliberately for a confirmed transaction. On mobile, review the selected services, continue to Payment and choose the actual payment method. Recording a second sale for the same order would duplicate your figures.

For the ₦11,300 example, mark the order paid only after confirming the full ₦11,300. A bank-transfer screenshot is not confirmation from your own account. Check your bank, then confirm receipt in the app. External card-terminal payments also need checking with the terminal provider; ReceiptPro does not process the card itself.

A fully unpaid, agreed order can be entered as customer credit on Growth or Pro. A deposit or partial collection needs separate balance records because the current credit workflow does not automatically allocate instalments. Do not turn an unaccepted estimate into debt, or mark an entire order paid because collection has been arranged.

Give the customer the right document

A short laundry receipt may fit an 80 mm format, while an A4 quotation gives a cleaning project more space. Choose the paper size and logo position in the preview, then check that the descriptions and quantities remain readable. The document does not replace the physical garment count or delivery acknowledgement.

Starter includes an account, up to 50 combined catalogue entries and on-screen documents. Growth and Pro add browser printing, Save as PDF where supported and WhatsApp text sharing. Pro adds custom colours, themes and fonts. Sharing opens a text workflow for you; it does not automatically message a customer about collection.

Review the day's orders against actual payments and maintain backups outside the working device. Do not assume live device sync; protected online teams have different access and backup limits. See the daily record routine, review unpaid-invoice messages, or try the sample app.
