How to send an invoice or receipt on WhatsApp in Nigeria
Send a clear invoice, quote or payment receipt on WhatsApp. Learn ReceiptPro’s text-sharing steps, the separate PDF attachment workflow and what to verify.
A customer asks, “Please send it on WhatsApp.” Before tapping Share, decide what “it” should be: an offer, a request for payment or an acknowledgement of money received. Sending the right document to the right person matters more than sending it quickly. ReceiptPro can prepare a text message for you to review in WhatsApp; it does not silently deliver a PDF or collect the customer’s money.
Start with the right document and plan
A proforma describes a proposed purchase. An agreed but fully unpaid sale needs an unpaid invoice and accurate outstanding records. A payment receipt acknowledges money your business has confirmed. If that distinction is unclear, read invoice versus receipt before sharing.
ReceiptPro requires an account. Free Starter supports on-screen documents and up to 50 catalogue items. Growth and Pro include WhatsApp text sharing and browser printing. Pro adds custom document colours and fonts. A free account does not include the app’s WhatsApp-sharing or PDF-printing actions; compare plans before relying on those tools for customer delivery.
The app opens WhatsApp with prepared text. You still choose or confirm the recipient, review the message and send it yourself. A successful handoff to WhatsApp is not confirmation that the recipient received, read or accepted the document.
Send a quotation or invoice from the editor
- Open Create Invoice in Easy Mode, or Invoice Generator in Standard Mode. Use a proforma while the customer is deciding; choose a confirmed-sale document only for an actual agreed transaction.
- Enter the customer’s name and check their WhatsApp number. A Nigerian number can use the normal local format or the correct +234 international format. Confirm the number with the customer rather than guessing a missing digit.
- Add the goods or services, quantities and prices. Review the reference, dates, payment wording, terms and any bank details. On a phone, More options reveals additional fields.
- Save a proforma if you need to retrieve the quote later. Saving it does not record a sale, debt, stock movement or payment.
- Choose WhatsApp with an active Growth or Pro plan. Review the prepared text and recipient inside WhatsApp before pressing Send.
With no usable customer phone number, sharing may open a recipient chooser instead of a specific chat. Check that you are in the intended conversation, particularly when two customers have similar names. Sending a business document to a public group can expose customer information unnecessarily.
Share a receipt for a saved payment
Record the real transaction once, using the actual payment method. A transfer requires checking your own bank account and making the app’s manual receipt confirmation; a screenshot alone is not enough. An external card terminal processes its own payment, while ReceiptPro records the method.
In Standard Mode, open Receipts, select the saved sale and choose Share via WhatsApp. If using the Formal Invoice document view, the action is Share Invoice. Easy Mode’s saved-sale view also offers Send on WhatsApp. Labels can differ with the selected language and screen, but the same review-before-send step applies.
For example, a fictional order contains two notebooks at ₦2,000 each and a calculator at ₦6,000. With no tax or discount, the confirmed total is ₦10,000. Check that the message shows those lines, the correct document reference and the actual payment status. Do not manually change an unpaid status to paid just to make the message look reassuring.
Send an A4 PDF as a separate attachment
WhatsApp text sharing does not automatically attach the styled A4 or 80 mm document. If the customer needs a file, use the available PDF or Print / Save PDF action on Growth or Pro. Review the preview and choose A4 where appropriate.
In the browser’s print dialog, select Save as PDF if your browser provides it. Check page breaks, long descriptions, logo placement and totals, then save with a recognisable filename containing the document reference. The browser and device control this saving step; it is not a background PDF delivery service.
Open the customer’s WhatsApp conversation yourself and attach the saved file as a document using WhatsApp’s controls. Open it once before sending to check you did not select an earlier draft or another customer’s invoice. If PDF saving is unavailable on that device, use a supported browser or the prepared text option rather than assuming a file was sent.
Keep the message clear and trustworthy
A short introduction helps: “Hello, here is the ₦10,000 receipt for your notebooks and calculator. Thank you.” For an unpaid invoice, state the real due date instead of calling it a receipt. Avoid unnecessary identity details and never ask a customer for passwords or one-time codes.
WhatsApp’s guidance on suspicious messages recommends checking unfamiliar senders and unexpected requests. Tell customers how to contact your business through an established channel if payment instructions appear to change. ReceiptPro’s Paystack subscription checkout pays for your app plan; it is not a hosted payment link for this customer invoice.
