How to correct an invoice or receipt mistake without confusing your records
Fix an incorrect customer name, price or payment status with a clear correction trail. Understand the difference between drafts, quotes and recorded sales.
An editable invoice is convenient while you are preparing it. After a document has been sent or a payment recorded, changing it without a trace can leave the customer and your own records disagreeing. First identify what stage the transaction has reached.
Correct an unsent draft before recording it
If you are still editing the form, check the customer, quantities and prices, then preview the corrected document. Opening or previewing an invoice in ReceiptPro does not automatically create a sale. Review the total before using Record sale.
For example, a fictional support job entered as ₦50,000 instead of ₦5,000 needs correction before the customer receives the document. Recheck the quantity as well: five hours at ₦5,000 is different from one hour at ₦5,000.
Keep a proforma separate from a sale
A proforma is a quote. In ReceiptPro, an unrecorded proforma can be edited, moved to Deleted and restored without changing sales, expenses, stock or customer debt. If you already sent the quote, tell the customer what changed and identify the revised document clearly.
A proforma associated with a recorded sale becomes read-only. That protects the relationship between the quote and the resulting transaction instead of allowing the original figures to change silently.
Check a recorded sale before correcting it
Once a sale has been recorded, inspect its reference, payment method, customer and items. Do not simply record a second sale to obtain a nicer receipt. That can duplicate revenue and reduce stock again.
Use the correction or void controls available to your authorised role, with the required confirmation. A void is a record correction; it does not by itself send money back through a bank or card provider. Keep separate evidence of any actual refund or replacement transaction.
Explain the change to the customer
Identify the original reference and the reason for the correction. Make clear which document should be retained. Avoid sending two documents with the same reference but different unexplained amounts or payment states.
If a supplier or customer needs a formal credit note or a particular tax document, confirm the required process separately. ReceiptPro should not be assumed to provide automatic credit-note issuance or legal advice about a regulated correction.
Build a short review habit
Before recording, compare customer details, quantities, unit prices, the final amount and payment evidence. Check the saved receipt immediately afterwards, while the transaction is still easy to identify. Restrict correction permissions to the people responsible for reviewing them.
